Job Summary
We are seeking a highly organized Document Controller/Administrator to manage and maintain DART+ Programme documents in an efficient and secure manner, with responsibility in overseeing office operations and supporting the team. The ideal candidate will be responsible for handling document control processes, supporting teams with document management needs, managing administrative tasks and coordinating office activities.
Responsibilities
- Receive, review and distribute documents, ensuring proper version control and document tracking both internally and externally
- Ensure all documentation meets internal and external requirements
- Provide professional document control duties applying diversified knowledge and experience of document control and filing practices to support the project
- Manage electronic CDEs and document filing systems to ensure efficient use by others including managing permissions
- Implement and maintain document control procedures, templates and guidelines
- Perform regular checks to ensure document accuracy and compliance
- Assist in training staff on document control processes and best practices
- Support project teams with document submission, approvals and archiving
- Liaise with other departments in Irish Rail to ensure best practices are adopted by the DART+ Programme.
- Oversee and manage daily office operations, ensuring efficiency and organization
- Coordinate schedules, meetings and appointments for team members
- Create, track and process small orders for office supplies
- Assist with integrating new members to the team
- Provide general support to team members, as needed

Essential Requirements
- Minimum of 5 years’ experience as a Document Controller or in a similar administrative role
- Strong knowledge of document management systems and version control
- A good level of IT literacy, specifically in relation to Microsoft Office Suite (Word, Excel, Outlook) and document management systems
- Knowledge and awareness of SharePoint administration and quality control processes within a CDE (Common Data Environment)
- Knowledge and proven ability in planning, organising and implementing work priorities to ensure the orderly flow of project documentation throughout the process
- Strong communication and coordination abilities
Desirable:
- Familiarity with industry-specific regulations and document standards (e.g., ISO, OSHA) is a plus
- Ability to work independently and as part of a team
- Bachelor’s degree in business administration, information management, or a related field
- A knowledge of the SAP Financial and Controlling modules
